Hi all,

Something I realised lately is how staying organised is essential to the operations of a niche site. Especially when you start to scale, hire writers, plan & publish lots of articles. It can be hard to keep track of what's planned, what's published, who's writing what.

To stay organised with my content sites and writers, I created a few documents. Here are the essential ones I have and use daily to operate:

Content Database - this is a spreadsheet of every piece of content on my site, planned or live, along with who wrote it, the original writer doc, the keywords and the silo. I can also include costs of that content if applicable. All filterable.
Master Writer Template - this is guidelines and structure for every kind of content, list posts, answer posts, reviews, round ups, news and more. Really easy just to give writers this one master document for all projects. This is great for when you really want to scale a site or silo.
Disposable Writer Template - sometimes you have a special piece of content that needs extra care. Maybe a skyscraper article or pillar post. This is a template I use to give the writer specific sub topics and structure.
Publishing Guidelines - this acts as a checklist. I hand this to my VA who publishes every piece that's finished from the Content Database. They create the featured images, SEO it up, create internal links, external links, affiliate product boxes where applicable.

This set up feels quite low maintenance to me, and because it's in Google Docs, anyone can jump in and operate. They don't have to learn Trello or ClickUp. It's just spreadsheets and they never go out of date.

After tweeting about this, I was quite surprised a fair few people had not got these kind of documents.

So I decided to create something to help...
